What data do we collect?

Workflowt iPad app allows you to collaborate with other people in customer defined workflows. We collect certain information from you when you login and operate the Workflowt app. Here is a full list of the information that we collect, the reasons why we collect it, and where we use it.

  • Username – we collect your username during the login process so that we can identify that you are a legitimate registered user. We do not use this information for any other purpose. We do not share this information with third parties.
  • Email address – we collect your email address during registration so that we can send you copies of tasks that you complete. We also use it when you forget your password by sending a time limited link to your email address via which you can set a new password to protect your account. We do not share this information with third parties.
  • First name and last name – we collect your first name and last name and automatically apply it to task reports that you complete. If you are completing a task report for presentation to another party such as one of your customers, depending upon how you designed your report, your first name and last name may be shared with those parties. We do not use this information for any other purpose.
  • Signature – we facilitate the recording of your signature for automatic application to task reports that you complete. This is optional. We do not oblige or force you to provide this information. We do not use or share this information. We facilitate you if you choose to share your completed task reports with others, but do not use this information for our own purposes or for any third party.
  • Your photo – we facilitate you by allowing you to associate a photo of yourself with your account. This is optional. We do not oblige or force you to provide this information. We do not use or share this information. If you do associate a photo with your account, the photo will be displayed in the top right hand corner of the app after you login. It is never used in any other context. You can delete or change the photo at any time.
  • Other photos – we allow you to take photos with the camera from within the app. We then allow you to annotate those photos and to associate them with the contents of your task report. When you associate a photo with the contents of your task report, the photo will be included in the completed task report. If you share that completed task report with third parties such as your customers, the photo will be visible to whomever you have shared the completed task report. We do not use or access your report photos. We do not share them with third parties.
  • Files – we allow you to attach files and to scan paper documents to your task reports. When you attach a file to your task report, a link to the file will be included in your completed task report. If you share that completed task report with third parties such as your customers, the file will be visible to whomever you have shared the completed task report. We do not use or access files that you attach to your reports. We do not share them with third parties.
  • Precise location – we allow you to associate your current location with an Item with which you are working within the app. Typically this is used to set the coordinates of a building in which the user has to complete a task. The location is not associated with the user. We do not record the identity of the user that sets the Item location. We do not record the time or date on which the location is set. This information is later available to be used by any user to whom a task is assigned for a particular building. The user can ask for the location to be opened in Apple Maps. This information is not, and cannot be used for tracking users. There are no other circumstances in which location is captured. This information is not used by us. This information is not shared with third parties.

Who we share your data with

We do not share your data with third parties unless directed to do so by a court of law with appropriate jurisdiction.

How long we retain your data

We keep your account data for as long as you maintain a customer account with us.

We keep your completed task reports and their associated photos and documents for the period you set on your account. This is completely within your control. Many of our customers use Workflowt to conduct statutory inspections. The retention period in these cases is set in law and ranges from two years to ten years. Exceptional cases such as EASA and FAA regulations relating to residual risks in aircraft design can require that the data is retained for the entire lifetime of a given aircraft.

What rights you have over your data

We do not own any of the data that you record on the Workflowt platform. That data is owned by you or your employer. We provide you with the tools to retrieve all of your data at any time. Your rights are widely enshrined in law such as the General Data Protection Regulation (GDPR). We operate in conformance with relevant national and regional regulations.

Where your data is sent

Your data is recorded on our servers in the European Union. Your data is stored on an encrypted platform. All of your data is encrypted during transmission through communication networks. Backups of your data are also recorded in encrypted form on our servers in the European Union.
